Exam Refund and Reschedule Policy
The RCR’s exam hub enables candidates to book their exams up to one year in advance and to manage those bookings online. This includes the ability to cancel or reschedule an exam up until the published booking closing date. Changes after the booking closing date must be made by contacting the Exams Team.
Please note that the below applies to 2026 exam bookings
Bookings can only be made online using the Exam Hub. New bookings cannot be taken after the booking closing date.
Payment must be taken at the time of booking to secure a place on an exam.
Candidates who are members of the RCR are eligible for discounted fees and priority booking access. These benefits are only available to members who are in good standing (with no outstanding fees) and whose membership is continual and ongoing.
Exam fees can be paid in full, via the Exam Hub. RCR may offer alternative payment methods from time to time.
For candidates who are residents of the UK, there is the option to pay in 3 instalments, via Klarna. If candidates choose to pay in instalments, Klarna will collect the first payment at point of purchase, the second payment in 30 days and third payment in 60 days. On the booking form, select ‘instalment payment’ to choose to pay via this option.
Candidates can reschedule to another available sitting, or different venue for the same sitting, by using the Exam Hub. A rescheduling fee of £48 will apply in all circumstances.
If the candidate is rescheduling to an exam with a different fee, the candidate will be charged or refunded the appropriate difference.
If a suitable sitting is not available, candidates will need to cancel their booking.
A candidate can only reschedule the same exam three times. After three times, the candidate will need to cancel instead.
Please note that the Exams Office is unable to reschedule a booking on behalf of a candidate.
Candidates can cancel their exam booking, and request a refund, by logging onto the Exam Hub.
An 80% refund is available up until the booking closing date for an exam sitting.
No refunds will be given after the booking closing date, apart from in exceptional circumstances (see below).
If a candidate needs to cancel or reschedule an exam after the booking closing date, they should contact the Exams Team at [email protected] 48 hours before the exam, at the very latest.
Refunds can only be made after the closing date in exceptional circumstances, such as illness, involvement in an accident or bereavement of a close family member. Candidates must provide supporting documentation in all such cases. This can include a GP/hospital letter, or support from a training supervisor or senior colleague. If a valid reason is not provided and/or not accepted, then no refund will be issued. If a valid reason is provided, then an 80% refund will be issued.
When rescheduling an exam, an administration fee of £48 will be charged in all circumstances.
Candidates can only reschedule to a later sitting at the originally booked venue. If there are no available places at a later sitting, an 80% refund of the exam fee will be given.
No refund will be issued to candidates who cancel due to being unable to obtain an appropriate visa for travel in time for the exam, unless they have applied more than 4 weeks before the date of travel for the exam. Candidates should be prepared to provide evidence of this.
If a candidate cancels an exam after receiving an appeal outcome meaning they no longer need to re-sit the exam, a 100% refund will be given.
Candidates who do not attend an exam, having not cancelled their booking will forfeit their exam fee and will not be transferred to the next available exam. As above, exceptional circumstances may result in a partial or full refund – please contact [email protected] in such instances.
Refunds may take up to 10 working days to process from the point of the Exams Office initiating the refund and may only be made to the payment method used to pay the exam fee.
The RCR does not provide refunds for any allied costs such as travel or accommodation costs in any circumstances.
The RCR acts as an introducer, and not a lender, of the credit products provided by Klarna Financial Services UK Limited. If candidates have questions or need assistance with Klarna payments, they should contact Klarna’s Customer Service. The Exams Office is unable to assist with Klarna account queries or issues.
It is at Klarna’s discretion whether they offer this payment option. If they refuse, the candidate will need to return to the Exam Hub booking page and pay in full using alternative methods.
For candidates who require a refund (due to a cancelling or rescheduling a booking) and paid by Klarna, once the Exams Office has processed the return, the refund will appear in the candidate’s Klarna account within 5 working days. The refund from Klarna may take up to 14 days to process. For more information, please refer to the Klarna website.
Please note that the below applies to 2025 exam bookings
- Candidates will need a debit or credit card to book an exam.
- Payment must be taken at the time of booking to secure a place on an exam.
- On completing the booking, the candidate will receive confirmation on screen as well as a confirmation email.
- Bookings, up until the booking closing date, can only be made online using the Exam Hub. The RCR Exams Team is unable to take new bookings over email or phone.
- Candidates can reschedule to another available sitting by logging into the Exam Hub. A rescheduling fee of £48 (inc VAT) will apply in all circumstances.
- If a suitable sitting is not available, candidates will need to cancel their booking. The exams team will not be able to reschedule a booking on behalf of a candidate.
- A candidate can only reschedule the same exam three times. After three times, the candidate will need to cancel instead.
- Candidates can only reschedule to a different venue or sitting in the same country. (The four nations in the United Kingdom act as one country for this purpose. Candidates can, therefore, reschedule to any of the four UK countries.)
- Candidates can cancel their exam booking, and request a refund, by logging onto the Exam Hub
- A 90% refund is available after seven days and up until the booking closing date for an exam sitting.
- Candidates who want to change their booking to a different country will need to cancel the booking to claim a refund and then rebook. This is due to variations in price.
- If a candidate finds that they need to reschedule an exam after the booking closing date, they should contact the Exams Team at [email protected] either before, or up to 10 days after, the exam.
- A rescheduling fee of £48 (inc VAT) will be charged in all circumstances.
- Rescheduling after the booking closing date can be offered for valid reasons including illness, involvement in an accident, bereavement of a close family member. The RCR does not provide refunds for travel or accommodation costs in any circumstance. In the event that a candidate is unable to get an appropriate visa for travel, the RCR will be unable to offer a refund or reschedule the booking.
The RCR’s decision regarding rescheduling and cancelation of exams, and associated refunds, is final.
